Privacy Policy

1. Purpose & Scope

This Privacy Policy applies to the GymFee software-as-a-service application operated for gym and fitness studio owners across India. This policy explains how we collect, handle, protect, and isolate your gym's administrative and customer information.

2. Tenant Data Isolation & Ownership

You own 100% of your gym's data. GymFee enforces strict database-level and application-level tenant isolation. We never sell, rent, broker, or monetize your member roster, contact phone numbers, fee collection figures, or attendance records to any third-party marketing agencies, advertisers, or rival gyms.

3. Information Collected

• Gym Account Details: Legal or trade gym name, owner/manager name, verified Indian phone number (+91), email address, and cryptographically salted password hashes.
• Gym Membership Ledger: Member names, mobile numbers, plan assignments, join dates, fee amounts, and payment histories stored solely on behalf of the gym owner.
• Transaction Records: Subscription checkout orders, payment gateway references (e.g. Razorpay payment ID), invoice codes, and timestamp logs. (We do not store complete credit card or debit card numbers on our servers).
• Technical Audits: IP addresses, user agent details, and access logs recorded strictly for security, rate-limiting, and abuse prevention.

4. WhatsApp Integration & Direct Click-to-Chat

GymFee uses standard WhatsApp click-to-chat links (https://wa.me/91XXXXXXXXXX?text=...). When you send payment receipts or fee reminders, the message is dispatched directly from your authorized phone or WhatsApp Web session. GymFee does not intercept, inspect, or retain your private chat messages.

5. Payment Gateway Security

Online payments for GymFee Pro subscriptions are processed by authorized Indian payment aggregators (such as Razorpay) complying with RBI tokenization rules and PCI-DSS Level 1 certifications. Signatures are verified server-side with HMAC-SHA256 cryptography.

6. Data Retention & Deletion

You may export your member roster and dues ledger to CSV at any time. If you choose to close your gym account, you can submit a deletion request via our Data Deletion Workflow.
